Tent Rental Planning Guide

A comfortable party starts with a layout that fits the way your guests will use the space. Use this guide to plan your seating, serving areas and setup before choosing a tent.

Guests celebrating an outdoor wedding with white high peak tents from Bounce Town 412

1. Plan what goes under the tent

Guest count is a starting point. A party with dinner tables needs a different arrangement from an open house where people come and go. Count the people you expect at the busiest time, then decide what else needs covered space.

Graduations & open houses

Plan seating for the guests likely to be there together. Leave room for food, drinks, gifts and a clear route between the tent and the house.

Weddings & seated meals

Work from the number of people seated at once. Include the table layout, serving area and any space you want for a head table, music or dancing.

Schools, churches & company events

Decide whether the tent is for eating, registration, activities or a shaded gathering area. Share your schedule and the busiest expected period with our team.

A quick sketch is helpful. Mark the entrance, tables and any separate activity areas so we can discuss how people will move through the setup.

2. Compare tent dimensions

Our options range from 10 × 10 canopies to larger 20 × 60 and 20 × 80 tent setups. Use the dimensions to begin your conversation with our team, then confirm the layout and availability for your event date.

Canopy area is not the full setup area. Placement and anchoring need additional room. Seating capacity also changes with tables, aisles and other equipment, so our team should confirm the fit before you book.

Planning a larger event? Tell us the guest count and layout you have in mind so we can discuss available options.

3. Show us the space

A few photos and basic measurements can make the planning conversation much easier. Send a wide view of the proposed location along with the route our crew would use to reach it.

Our team will review the proposed setup. Please confirm the location with us before arranging the rest of your event around it.

4. Plan tables, chairs and the finishing details

Choose seating around how you want the event to feel. Round tables work differently from rectangular tables, and a buffet or drink station takes up space even when nobody is seated there.

We also offer tables and chairs. Tell us what you need when requesting your tent quote so we can discuss the setup together. If you are interested in lighting or other tent add-ons, ask which options are available for your date.

Keep bounce houses, games and other activities in mind when planning the overall space. Separate activity and seating areas can make the event easier for guests to navigate.

Your tent quote checklist

Have these details ready when you contact us:

  1. Event date, start time and end time.
  2. Event city or ZIP code and the venue or property location.
  3. Approximate guest count and how many people need seats at once.
  4. Your preferred table arrangement and any food, drink or activity areas.
  5. Photos, rough measurements and details about access and the ground surface.
  6. Tables, chairs and any other rentals you would like us to include.

You do not need every answer before reaching out. Share what you know, and we will help you work through the rest.

Common tent planning questions

What size tent do I need for my guest count?

That depends on how many people need seats at once and what else goes under the tent. Send your guest count, seating plans and available space so we can recommend a suitable setup.

Can I request a tent, tables and chairs together?

Yes. Include the items you are interested in with your tent request. Our team can help you compare the available options and confirm the details for your event date.

What if I am not sure whether my yard will work?

Send photos and approximate measurements before choosing your final setup. Mention slopes, overhead obstacles and access restrictions so our team can review the location with you.

What should I ask about weather and cancellation?

Ask our team about the weather plan and the cancellation or rescheduling terms that apply to your booking. Confirm those details before reserving, especially if your event depends on outdoor space.
